Software installed or purchased by ESP or for ESP managed devices must comply with University, College, and ESP policies. For that reason, if you are requesting software to be installed or purchased, may we have you complete a Data Classification Assessment (aka CA&ES Protection Level Assessment) for each software that you are requesting?
It is important to follow this process so we can assess your use case of the software you are requesting.
A walk-through of the Data Classification Assessment form:
- Requestor Information
- Enter in your information
- Select "Environmental Science & Policy IT"
- Requestor Information
- Please leave the Related Records section blank as there is no related CA&ES Software Request ID or PrePurchasing Request Number for your software request.
- Vendor Information
- Enter in the software vendor's information
- Use Case Information
- Please describe how you're using the software, not what the software is.
- We do NOT need a description of what the software does, but how you're using the software. For example, do NOT tell us Microsoft Word is a text editor and word processing program, or that Google Chrome is a web browser. Tell us how you're using Microsoft Word or Google Chrome.
- Data Sensitivity Assessment
- Answer all questions for the system (aka software)
- If you answer No to all questions, it's especially important you fill out the last box asking for a description of what Institutional Information (a term that broadly describes all data and information created, received and/or collected by UC) will be stored or processed by the system (aka software).
We need to know what kind of Institutional Information you'll be using with or inputting into the software (the more detail the better).
Keep in mind the following questions:
- What is included in your datasets or your developed code?
- If your data is included with a project, what is the project information?
- What are the data sources?
- What will you be running/creating in the software?
